  • Most firms have AI logins. The work still passes the same hands and waits for the same owner.

Ask the owner of a service firm in Dubai if they use AI. The answer is almost always yes. A ChatGPT login. A note taker in meetings. Maybe a chatbot on the website.

Then ask a second question. What changed in how the work moves? Most of the time, nothing. The quote still waits for days. The same people still pass the same file. And the owner is still the person everybody waits for.

That gap is what this note is about. I run a growth marketing firm, not an AI company. To me AI is a tool inside 1 job, which is growing the business. A tool that does not change the work is just another bill.

Hand drawn sketch: A new laptop tied with a blue ribbon sits untouched on a side table, while 3 office workers pass a folder by hand to a tired owner at a desk
The tool arrived. The work did not change.

01Everyone has the tool now

Buying AI is not rare any more. A 2026 report by AWS and the UAE Artificial Intelligence Office found that 72% of UAE businesses use AI, up from 53% a year before.

  • 72%of UAE businesses use AI in 2026
  • 53%was the share 1 year before

That number covers all kinds of businesses, not only service firms. And it says who has the tool, not what the tool changed. When I sit with owners here, I see the same thing again and again. The subscription is paid. The work moves the way it always did.

Buying AI is easy. Changing 1 step of the work is the real job.

02Using AI is not the same as AI running a step

Using AI looks like this. A person opens a chat, types a question, copies the answer, pastes it somewhere else, and then does the rest of the job like before. The job got a little faster. The same person still does it.

AI running a step looks different. The step happens without anyone starting it. The meeting ends, and the notes and the to do list are already with the right people. Nobody opened anything.

Side by side

Using AI versus AI running a step

Using AIAI runs the step
Who starts it

A person opens a chat

The step before it ends

Who does the job

Same person, a bit faster

The system, a person checks

Where it goes next

Copied by hand

Straight to the next person

What the owner sees

The same waiting

Only what needs a yes

Hand drawn sketch: A row of 4 desks passing a sheet of paper along, where the third desk has a small blue machine instead of a person, stamping the sheet and handing it on
Not a helper at the desk. A step that runs.

Here is the test I use for my own business. A tool is worth paying for only if it takes a job off a person. If it just makes the same person a bit faster, skip it for now.

03Why the tool did not fix it

AI does not pick the road. It only makes the car go faster. If a step in your work is broken, AI just does that broken step faster.

Most owners do it the other way round. Something hurts, so they buy a new tool. The tool sits on top of the same mess, and a month later it hurts again. It is almost never a tool problem. It is a step problem.

Before you buy

Answer these 4 first

  • Which step is broken?
  • Who owns that step?
  • What should come out of it, and by when?
  • Is it written down in plain words?

If those 4 answers are clear, most tools will work. If they are not clear, no tool will save you.

04How to pick your first step

Do not start with the exciting step. Start with the boring one. The step that happens every week, the same way, where the work sits and waits for someone.

3 steps

Find the step where work waits

  1. 01
Write the work on 1 page

From the first enquiry to the paid invoice. The call, the quote, the yes, the work, the bill.

  2. 02
Mark where it sits and waits

A quote that takes a week. A yes that waits for you. An invoice nobody chases.

  3. 03
Pick the 1 that repeats most

Boring and repeated beats exciting and rare. Fix only that step this month.

Hand drawn sketch: A shelf of 6 letter trays where only the blue tray in the middle overflows with paper, while a man stands looking at it
Start where the pile is.

A good first step has 3 signs. If a step has all 3, that is your first step.

The 3 signs

What a good first step looks like

  • 01It repeats

Every week, the same way, for every client.

  • 02Work waits there

Something sits for days before anyone can move.

  • 03It is boring

Nobody on the team will miss doing it by hand.

05A simple before and after

Take a step almost every service firm has: the quote after the first call. Here is the shape I see often.

Before, the owner takes the call and scribbles notes. The quote waits until the evening, or the weekend. It goes out a few days later, when the buyer has already cooled down.

Hand drawn sketch: A tired man writing alone at his kitchen table late at night under a hanging lamp, with a pile of notes and a cup of coffee, the sheet he writes on in blue
The old way. The quote waits for the night.

After, the call is recorded. When it ends, the notes and a first draft of the quote are already written. A team member checks the details. The owner reads it on the phone and taps yes. It goes out the same day.

I did this first in my own business, with my own carousels. Each one used to eat a big part of my morning: the topic, every slide, the photos, the caption. 1 person doing 6 jobs. I timed the new way for real.

  • 6.5 minfrom the script in to the finished set out
  • 7slides and a caption from that 1 run
  • 1 tapfrom me before anything goes out

The win is not the minutes. It is what the saved time buys back: more time to record, and more time with founders.

06A person still says yes

Even in that carousel run, I still check every slide on my phone. I tap yes, or I say what to change. The system does the work. I still make the call.

The rule is simple. Anything that reaches a client, moves money or cannot be undone waits for a person. Everything inside the building that can be fixed later is allowed to run on its own.

Hand drawn sketch: A path of envelopes from a desk to a mailbox, with a man at a small blue gate halfway, reading an envelope before he lets it through
The work runs. A person holds the gate.

Then say it out loud to your clients. AI does the typing, the sorting and the reminders. A named person reads it and signs it. Clients trust the firm that tells them where the human is.

07Where to start this week

You do not need a new tool this week. You need 1 page and 1 honest hour with your team.

This week

Write your work on 1 page, from the enquiry to the paid invoice. Circle the step where things wait the longest. Ask 1 question: could this step run without a person starting it, with a person still saying yes at the end?

Fix that step first. Then the next one. That is how a firm changes how the work gets done, 1 step at a time.

08Questions, answered

We already pay for AI tools. Why has nothing changed?

Because a tool on its own does not change a step. If the same person still starts the job and the work still waits for the owner, the tool only made that person a bit faster.

Which step should a service firm change first?

The boring one that repeats every week and where work sits and waits. The quote after the first call and the notes after a meeting are common places to look.

Will AI send things to my clients without asking?

Not if you set it up right. Let the system do the work, and keep a person saying yes before anything reaches a client, moves money or cannot be undone.

Do I need to be technical to do this?

No. You need to know your own work, step by step, in plain words. If you can write it on 1 page, the tool is the easy part.

Do not buy another tool. Change 1 step.
