- An AI assistant can learn your firm in about 5 days of honest talking.
- That learning sits as a chat history inside a tool you rent by the month.
- The fix is a 10 minute daily habit: 1 question, 1 answer, 1 file you own.
- Pull the notes out of the chat app and the learning stays yours when the tool changes.

An AI assistant can learn your business faster than any new hire. Not a year. Not 3 months. About 5 days of honest talking.
I have watched this in my own work. You tell it what you sell, who buys, what you charge, and what you never do. By the end of the week it answers like someone who has sat in your office for years.
Then comes the part nobody warns you about. All of that learning is sitting inside somebody else's app. You did the teaching. The app holds the notes. Change the tool, or lose the login, and your business goes blank again.

015 days is enough, if you feed it real work
5 days sounds too fast. It is not, because you are not teaching it the world. You are teaching it 1 small thing. Your firm.
A new worker needs 5 days just to learn where things are kept. An AI assistant reads whatever you give it in seconds. The slow part is not the machine. The slow part is you, finding words for things you have never written down.
What to teach it, 1 thing a day
- 01Day 1. What you sell
The real list of what you do, in the words your buyers use on the phone.
- 02Day 2. Who buys
The 2 or 3 kinds of clients you want more of, and the kind you turn away.
- 03Day 3. Your money
How you quote, what you charge for, and what you never cut the price on.
- 04Day 4. Your rules
The things you always do, the things you never do, and the reason behind each one.
- 05Day 5. Your questions
The 10 questions every buyer asks you, with your own answers under them.

That is 5 short sittings. If typing slows you down, talk instead. I do most of mine as voice notes between meetings, then let the machine tidy my talking into clean lines.
By Friday the answers stop sounding like a search result and start sounding like your firm. That feeling is the trap. It feels like you built something. You did. You just built it in a rented room.
02The catch is the memory sits in their house
When you teach a chat app, it keeps a memory of you. That memory lives on their computers, not yours.
Nothing shady about it. That is simply how the thing is built. But look at what it means. The most valuable writing your firm has ever produced, your rules, your prices, your way of working, now exists as a chat history inside a tool you pay for by the month.

Where your firm's memory can sit
The company that made the app
You
You start from 0
You paste it in and carry on
Their chat leaves with them
Their notes stay with the firm
Whoever has that login
Whoever you decide
5 more days of teaching
1 copy and paste
I have written before that most of a firm's real knowledge lives in 1 person's head, and it walks out of the door the day that person leaves. It cannot be handed to a new person without months of watching and asking. An AI chat window is that same old problem in new clothes. Same knowledge, still not written down anywhere you control.

If the only copy of your firm's rules is a chat history, you do not own your firm's rules.
03The daily habit, 10 minutes before you shut the laptop
So here is the habit. 10 minutes, once a day, at the end of the day. No new software. No project.
The habit, in 4 steps
- 011. Ask 1 question
Pick 1 thing that came up today. Why we said no to that job. How we price a rush order.
- 022. Answer out loud
Record a voice note and just talk, the way you would explain it to a new team member.
- 033. Let the AI clean it up
Ask it to turn your talking into 1 short written note. Plain lines, no fancy words.
- 044. Save it in your own folder
Not in the chat. A file, in a folder, on a drive your firm controls.
Step 4 is the one almost everybody skips. People do the first 3 for weeks and feel great about it. Then the app changes, or a login breaks, and all of it is gone. The first 3 steps are the fun part. The 4th step is the part that makes it yours.

Do this on working days only and you have about 20 notes in a month. Keep going for a year and you have a book about how your business actually runs. Nobody else in your market has that book, because nobody else bothered to write theirs down.
Keep it boring. A folder of plain text files beats a clever system you abandon in week 2.
04What to actually write down first
Owners freeze at this point because they think a knowledge base means everything. It does not. Start with the 8 things your team asks you again and again.
8 files to write before anything else
- What we sell, in the words buyers use, not our brochure words.
- Who we say yes to, and who we politely send elsewhere.
- How we price, and the lines we never cross on price.
- The 10 questions buyers ask, with your real answers.
- The steps of 1 job, from first call to final handover.
- The mistakes we have already paid for, so nobody repeats them.
- How we speak to a client when something goes wrong.
- The promises we make, and the ones we refuse to make.

Writing the steps of 1 job down is the least exciting work in your whole week. It is also the work that makes an AI assistant useful instead of chatty. A machine cannot follow a rule you have never said out loud.
And this is often the first time a firm's real knowledge gets written down at all. That alone is worth the week, even if you never used AI again.
05What a knowledge base you own gives back
Once the notes are yours, the AI stops being a clever stranger and starts being your own staff.
Here is what that looks like in my own setup. My notes live in a knowledge base I own, written by me, not scraped off the internet. When I ask for an article, it writes from my notes. Same voice, same style, but the facts inside are mine, not whatever the internet happens to say this week. It can even pull from my own library of custom GIFs for the pictures.
- 1,444notes in my own knowledge base, all written by me
- 5,000+custom GIFs of mine the same system can pull from

4 things your own notes do for you
- 01Answers that sound like you
The machine repeats your rules, not a general opinion from the internet.
- 02Content from your own work
Every note you record is also a post, a reel or an article waiting to be made.
- 03A new hire who gets it fast
They read the notes in week 1 instead of guessing for 6 months.
- 04A tool you can swap
A better app comes out, you move your notes across and keep every bit of the learning.
That last one is the whole point of this note. Tools will keep changing. They changed twice while you read this page. Your notes are the only part of the setup that does not need to change, as long as you are the one holding them.
Record 1 voice note about why you said no to a job this year, turn it into a short written note, and save it as a file in your own folder. 1 file. That is your knowledge base started.
06Questions, answered
Should I stop using AI chat apps then?
No. Use them every day. Just treat the chat window as a place where work happens, not a place where work is stored. The answer you liked gets saved into your own folder before you close the tab.
Where should these notes live?
Somewhere plain and boring that your firm controls. A folder of text files on a company drive is enough to start. You can always move them into something smarter later, because they are yours.
Can I just download my chats at the end?
Most apps let you download your history, and you can copy answers out any time. The problem is doing it in a panic, months later. Doing it as you go takes 1 minute a day and nothing gets lost.
How long before this is actually useful?
After the first 5 files. Give those 5 to any AI tool and the answers change the same day. The rest of the year is you making it richer.
Does my team need to do this too?
Yes, and that is where it gets strong. Each person writes down the part they know best. The firm ends up owning the knowledge instead of 1 person owning it in their head.
If you want to see where your firm's knowledge is sitting right now and how much of it only lives in your own head, take the Capacity Diagnostic and we will go through it together.
